Setting up a new device

How do I set up a brand-new screen out of the box?+

Your device arrives ready to go — no computer or technical setup needed. 1) Plug the HDMI cable into your TV and the power cable in. 2) It'll boot up and show a wifi setup screen automatically. 3) On your phone, connect to the "VirtuMotive-Setup" wifi network that appears (it won't have internet — that's expected), then enter your real wifi network's password when prompted. 4) Once connected, a 6-character pairing code appears on the TV. 5) Log into your VirtuMotive dashboard, go to Screens → "Pair a screen", and enter that code. The TV switches over automatically within a few seconds.

Do I need to flash an SD card or configure anything myself?+

No — every device ships pre-configured and ready to plug in. You only ever interact with the wifi setup screen and the pairing code step above.

The wifi setup network doesn't have internet — is that normal?+

Yes, completely normal. "VirtuMotive-Setup" is a temporary network the device creates just to collect your real wifi password. Your phone may warn you about "no internet connection" — stay connected anyway and continue with setup.

Getting started

How do I add a new screen?+

The easiest way: plug in a new device and pair it (see "Setting up a new device" above). You can also click "+ Add screen" to register one manually and copy its setup URL yourself.

My screen shows "Not yet claimed" — what does that mean?+

The screen was created but hasn't been paired to a physical device yet (either it was added manually via "+ Add screen", or a Pi hasn't successfully connected with a pairing code). Once a device pairs successfully, the status updates automatically.

What's the difference between "Live now" and "Offline"?+

"Live now" means the screen has checked in recently and is actively playing content. "Offline" means it hasn't checked in — usually a power or wifi issue on that device. Check that it's plugged in and connected to the internet.

Content library

What file types can I upload?+

Images and videos. For the best fit on screen, landscape (widescreen) images or video work best — 1920×1080 is ideal. Portrait or square images still display beautifully; the player automatically frames them with a soft blurred background instead of black bars.

How does AI slide generation work?+

On the Content Library page, describe what you want announced in plain language (e.g. "Announce Sunday's food drive at 9am") and click Generate. VirtuMotive writes the copy and designs a complete slide automatically — no design skills needed.

What are templates, and how are they different from AI generation?+

Templates are ready-made layouts (Announcement, Welcome message, Simple list board, Categorized list) where you fill in your own text — faster and more predictable than AI generation when you already know exactly what you want to say. You can also pick a background style (Midnight, Daylight, Bold color, Chalkboard), add an accent icon, and add a decorative corner flourish.

Can I preview what a slide will look like before it goes on the TV?+

Yes — click any image or video in the Content Library to open a preview showing exactly how it'll render on screen, including the blurred-background treatment for non-widescreen content.

How do I delete something from the content library?+

Hover over any item and click the small × in the top-right corner. If that item is currently used in a playlist, it's removed from that playlist automatically at the same time.

Playlists

How do I build a playlist?+

Go to Playlists → "Create a playlist", give it a name, click the content you want to include (in the order you want it to play), and choose your display options — how slides transition (crossfade, cut, or slide) and whether photos get a slow Ken Burns zoom.

Can I preview a playlist before assigning it to a screen?+

Yes — click "▶ Preview" on any playlist. It plays back in your dashboard using the actual transition style and timing that screen will use, so you can check it before it ever reaches a TV.

How do I add or remove content from an existing playlist?+

Click "Edit items" on the playlist card. You can add more content, remove items, reorder them, and adjust how long each photo displays, then save — any screen currently showing that playlist updates automatically.

How do I put a playlist on a screen?+

From the Playlists page, use the "Assign to screen" dropdown on the playlist you want, and pick the screen. That becomes the screen's default playlist.

Scheduling

Can different playlists play at different times of day?+

Yes. Open a screen and click "Manage schedule". You can set specific playlists to play during chosen days and time windows (e.g. a lunch menu 11am–2pm on weekdays) — outside those windows, the screen's default playlist plays instead.

What timezone does scheduling use?+

The timezone set in Settings → Organization. Make sure that's set correctly, since it's what determines which scheduled playlist should be live at any given moment.

Team & access

What can each role do?+

Owners can do everything, including managing the team and organization settings. Editors can create and edit content, playlists, and screens, but can't manage team members or org settings. Viewers can only look — they can't create or change anything.

How do I invite someone to my team?+

Go to Settings → Team (owners only) and enter their email with a role, then click Invite. Since email delivery isn't connected yet, you'll need to copy the invite link shown on screen and send it to them directly (text, Slack, etc.).

Can I belong to more than one organization?+

Yes — if someone invites you to their org, you'll see a dropdown appear at the top of the sidebar to switch between all the organizations you belong to.

Account

How do I change my password?+

Go to Settings → My Account. If you've only ever signed in with a magic link, you'll see "Set a password" instead — set one there any time.

How do I sign out?+

Click "Sign out" at the very bottom of the sidebar, below the navigation links.

Troubleshooting

My screen won't connect to wifi during setup.+

Make sure you're connecting your phone to the "VirtuMotive-Setup" wifi network first (not your home network), then load the setup page it prompts. Double-check your wifi password is entered correctly on that setup screen.

My pairing code isn't working.+

Pairing codes expire after 30 minutes for security. If it's expired, unplug and replug the Pi to generate a fresh one, or check that you're typing the code exactly as shown (it excludes ambiguous characters like 0/O and 1/I/L on purpose, so double-check you're reading it correctly off the TV).

A video isn't playing on the screen.+

Confirm the video uploaded successfully in the Content Library (you should see a thumbnail/preview) and that it's included in the playlist currently assigned to that screen.
